Privacy, Safety, Satisfaction: Your Adventure, Our Commitment! These terms apply to all guided tours, self-guided tours, outdoor activities and bike rentals booked with Nepal MTB Adventures, formerly Pokhara Mountain Bike Adventures (PMTBA).

We aim to give every customer a friendly experience and to keep formal terms and conditions to a minimum. We rely on common sense and uphold moral and ethical standards in all our dealings. Our goal is to offer friendly and reliable service to every guest.
We are a registered mountain biking and outdoor adventure tour operator, recognised by the Government of Nepal's tourism ministry. We partner with international tourism organisations, NGOs, INGOs, travel companies and magazines, and we have received awards and recognition from travel magazines. Our team is passionate, humble, honest and dedicated, and always strives to give our guests the best possible service.
Our vision is to promote quality, professional, personal and sustainable tourism in Nepal, based on honesty, integrity and sustainability. We strongly believe that the customer is always right. We are committed to improving our service with every trip, putting your safety, fun and satisfaction first.
While we keep a customer-friendly approach, some parts of our service need specific terms and conditions. We aim to balance flexibility with a smooth and enjoyable experience for every customer.

We care about your privacy when you join our mountain biking and outdoor adventure tours, and we protect any personal information you share with us. Here is a simple explanation of our privacy policy.
- Collecting information: we may need your name, contact details and other important information to help you with our services.
- How we use your information: only for purposes related to your mountain biking trips and other outdoor adventures. This includes communicating with you, processing your bookings and making sure your adventure is enjoyable and hassle-free.
- Sharing information: we value your privacy and will not sell or disclose your personal information to other parties unless the law requires it or you give permission. Sometimes we may share it with trusted partners or service providers who help us deliver our services to you.
- Keeping your information secure: we have measures in place to protect your personal information from unauthorised access, loss or misuse. However, no data transmission or storage can guarantee absolute security.

Personal Information
We want to make sure everything is in order for your mountain biking and outdoor tours in Nepal, so we need some important personal details from you. We need a scanned copy of your passport for identification. It is also important for our team to know about any medical conditions, food allergies or special needs, so we can tailor your holiday to your requirements and preferences.
We respect your privacy and will handle your personal information with the utmost care and confidentiality.
Booking and Confirmation
To secure your booking for an activity or tour, a deposit of 15% of the total cost is required at the time of booking. The deposit is non-refundable but can be transferred to another trip at any time. You can pay by:
- Our online payment system.
- Bank transfer using a SWIFT code.
- Credit card or debit card.
Your reservation is confirmed once we have received the deposit and sent you a booking confirmation email.
Note: to make it easier for you, we can send you a payment link so you can transfer your deposit online.
Final Payment
For multi-day and longer tours, the remaining balance must be paid no later than 30 days before the tour date. For shorter trips, we are flexible. You can also pay the balance in cash at our office before the tour departs. Payment can be made by:
- Cash in your currency, equivalent to NPR, USD or EUR.
- Credit or debit card, with a 3.5% surcharge.
- Bank transfer, with the transfer surcharge paid by the sender.
Note: any bank service charges on your deposit or full payment are the responsibility of the client.
Refund Policy
We understand that unexpected things happen and you may need to cancel your booking. We will do our best to meet your needs and reschedule your trip if possible. However, late cancellations cost our company money. Depending on when you cancel, we may keep part or all of your deposit and payments. Any bank charges will be deducted from the refund.
- At least 1 month's notice
- Your deposit and payment are transferred to a future trip.
- Less than 20 days' notice
- 25% of the total payment is lost.
- 5 to 19 days' notice
- 30% of the payment is lost.
- Less than 24 hours' notice
- A 40% cancellation charge applies, and the other 60% stays as credit towards a future trip. No cash refund is available.
Trip Cancellation by Nepal MTB Adventures
We will not cancel your trip unless there is a critical situation. We may cancel or change your tour in unusual circumstances such as a state of emergency, war, unrest, a pandemic or a natural disaster. If this happens, we will offer you an alternative or refund your tour cost. However, we are not responsible for any additional expenses you have incurred because of your booking.
Note: in a critical situation like COVID-19, all cancelled trips will be rescheduled to a future alternative trip, because of the economic and social conditions that may follow.
Participant Requirements
- All participants must be at least 16 years old. Children aged 15 and under must be accompanied by their guardian.
- Participants must have a reasonable level of fitness and basic biking skills for mountain biking and cycling tours.
Safety
The safety of our participants is of the utmost importance. All participants must wear appropriate safety gear, including helmets, throughout the tour.
Participants must follow our guides' instructions at all times for a safe and enjoyable biking experience. If you would like some time on your own, let us know and we will offer options to suit you.
Risk Assumption
Mountain biking and outdoor adventure activities involve natural risks. As a rider or participant, you willingly accept these risks during the tour. We may ask you to sign a liability waiver, release form or consent form before starting the tour or renting equipment. This form confirms that you understand and accept the potential risks involved.
Medical and Travel Insurance for Your Trip to Nepal
For a safe and worry-free mountain biking trip to Nepal, both travel and medical insurance are strongly recommended and required. Get your insurance after booking your trip. Your insurance should cover:
- Personal accidents and medical expenses.
- Emergency helicopter evacuation.
- Unfortunate events such as death.
- Bike rentals, lost luggage and trip cancellations.
Please note that we do not offer insurance for mountain bikes or bicycles rented from our store. For your holiday insurance, we suggest considering World Nomads.
Complaints
We believe in honesty and integrity, and we will not make false promises just to win your business. Our priority is to meet all your needs and make your holiday a unique and immersive experience. However, no one is perfect, and mistakes can happen for various reasons. If any issue comes up, please tell us immediately so we can deal with it on the spot as best we can.
If our team cannot resolve the issue because of technical difficulties, we will make every effort to manage the situation and keep working to give you the best possible service. We are committed to taking remedial action and finding a solution.
In the rare event that the issue cannot be resolved within the day, you can contact our founder or senior manager directly, who will personally make sure the complaint is addressed and resolved as well as possible.
Incomplete Trip
If you choose to leave the trip before it is completed, whether by your own choice or for any other reason, we will not provide a refund for the mountain biking tour.
During the Trip
If you take part in any illegal activity that results in you having to leave the trip and Nepal, we will not provide any refund.
Bike Rental with Nepal MTB Adventures
- Rental agreement: when you rent a mountain bike from our Pokhara rental shop, you agree to follow the terms and conditions below.
- Rider responsibility: you are responsible for the bike during the rental period. Take good care of it as if it were your own, use it responsibly and follow all local laws and regulations.
- Bike condition: all our rental bikes are in good working condition before they are rented out. However, we expect you to inspect the bike thoroughly before your ride. It is your responsibility to tell our rental shop about any mechanical issues or damage.
- Rental duration: the rental period runs from the agreed start date and time until the bike is returned to our shop. Late returns may incur extra charges. If you would like to extend your ride, contact us while you are on the trail.
- Rental price: our rental prices are clearly stated and agreed at the time of booking. Additional services or items, such as jeep shuttles, extra lubricant, tubes, rear hanger replacements or requested accessories, may incur extra charges.
- Security deposit: a security deposit is required for each rental. This can be a valid ID card, cash or something of value. We return the deposit when you bring the bike back in the same condition, allowing for normal wear and tear.
- Liability: our rental shop and crew take every precaution to keep you safe, but we cannot take responsibility for any accidents, injuries or damage to you or the bike during the rental period. By renting a bike from us, you acknowledge and accept this.
- Maintenance and repairs: you can make minor adjustments, such as tyre inflation or gear tuning. Any major repairs or damage must be reported to our shop immediately.
- Loss or theft: if the rented bike is lost or stolen, you are responsible for the cost of replacing the bike or any missing parts. You can ask for a lock and key at the rental shop.
- Age and legal requirements: renters must be at least 16 years old and hold a valid identification document.
Rental cancellation policy
If you need to cancel a bike rental for any reason, please tell our rental shop as soon as possible. Depending on when you cancel, the following applies:
- 10 days before the start
- Full refund.
- 3 days before the start
- A cancellation fee of 50% may apply.
- On the rental day
- Not eligible for a refund. We can postpone your rental to the next day or your next trip, but no cash refund is available.
Photo, Video and Sound Recording Release
We may take photos and videos of you during your mountain biking and outdoor adventure tours with us. By booking a guided tour, bike rental or self-guided tour, you give us permission to take these visuals and use them in various formats.
We may use these photos and videos to promote our mountain biking and outdoor adventure products. They may appear on our website, social media, brochures, advertisements and other promotional materials as needed.
We respect your privacy. We will not connect your personal information with the released photos or videos without your explicit consent. However, once your photos, videos or recordings are published, we cannot control how third parties use them.
You will not be paid for the use of your photos or videos. If you would rather we did not use them, you can tell us by call or text.
If you do not want us to use your photos, videos or recordings and would like to withdraw your consent, please let us know by email or WhatsApp. This applies to future use only. Materials that are already published may not be affected.
We will use photos and videos responsibly and avoid any offensive or harmful content. However, we cannot take responsibility for any unauthorised use by third parties without our consent.
By booking a guided or self-guided mountain biking, cycling or outdoor adventure with us and taking part in our tours, you confirm that you have read, understood and accepted these terms and conditions. You agree to release Nepal MTB Adventures and its representatives from any claims, damages or liabilities connected with the use of your photos, videos and recordings.
