Information We Collect

We only ask for what we need to plan and deliver your adventure:

  • Identity and contact details: name, email, phone number, country, and (for restricted or conservation-area permits) passport details.
  • Booking details: the tour, rental, or activity you choose, dates, number of participants, dietary or medical information you choose to share, and special requests.
  • Payment information: processed securely by our payment providers. We do not store full card numbers on our servers.
  • Technical and usage data: IP address, browser type, device, and how you use our site, collected through cookies and similar technologies (see our Cookie Policy).
  • Communications: messages you send us by form, email, or WhatsApp.

How We Use Your Information

We use your personal data to:

  • Process and confirm your booking and payment.
  • Arrange the logistics of your trip, including accommodation, flights, transport, and permits.
  • Communicate with you about your booking, safety, and trip details.
  • Respond to your enquiries and provide customer support.
  • Improve our website and services.
  • Send you offers and updates, only where you have opted in. You can unsubscribe anytime.
  • Meet our legal, tax, and safety obligations.

Sharing Your Information

We do not sell or rent your personal data. We share it only when needed to deliver your trip or where required by law, with:

  • Trusted partners and suppliers: such as hotels, airlines, transport operators, and local agents who help fulfil your booking.
  • Payment processors: who handle your transaction securely.
  • Authorities: where a permit or the law requires it.

All partners are expected to protect your data and use it only for the agreed purpose.

Payment Processing

We accept Visa, Mastercard, American Express, Apple Pay, and eSewa. Payments are handled by secure third-party processors. Your card details are encrypted and processed by them, not stored by us.

Cookies and Tracking

We use cookies and similar technologies to keep the site working, understand how it is used, and improve your experience. You can control cookies through your browser. See our Cookie Policy for full detail. Our site also uses Google reCAPTCHA to prevent spam, which is subject to Google's Privacy Policy and Terms.

Data Retention

We keep your personal data only as long as needed for the purposes above, including legal, accounting, and safety requirements. When it is no longer needed, we securely delete or anonymise it. You can ask us to delete your data after your trip (see Your Rights).

Data Security

We use reasonable technical and organisational measures to protect your personal information from unauthorised access, loss, or misuse. No method of transmission or storage is completely secure, but we work hard to keep your data safe.

International Transfers

Because we operate in Nepal and serve guests worldwide, your data may be processed outside your home country. Where we transfer data internationally, we take steps to ensure it remains protected to GDPR standards.

Your Rights

Under GDPR you have the right to:

  • Be informed: about how your data is collected and used.
  • Access: the personal data we hold about you.
  • Rectify: inaccurate or incomplete data.
  • Erasure: ("right to be forgotten"), for example after your trip.
  • Data portability: to receive or transfer your data.
  • Restrict: how we process your data.
  • Object: to certain processing, such as direct marketing.

To exercise any right, contact us using the details above. You also have the right to complain to your local data protection authority.

We respect your privacy on and off the trail. Our guides and staff will not post or share photos, videos, or recordings of guests without consent. Any media our crew captures during guided trips remains the copyrighted property of Nepal MTB Adventures. Where we would like to use images of you for promotion, we will ask your permission first.

Children's Privacy

Our website is not directed at children, and we do not knowingly collect data from children without parental consent. Family bookings are made and managed by an adult.
