At Nepal MTB Adventures (formerly Pokhara Mountain Bike Adventures, "we", "us", "our"), we prioritise a customer-friendly experience and aim to keep formal terms to a minimum, relying on common sense and high ethical standards. We are a mountain biking and outdoor adventure tour operator registered with and recognised by the Government of Nepal's tourism ministry, and we partner with international tourism organisations, NGOs, travel companies, and magazines.
These terms balance flexibility with a smooth, safe, and enjoyable experience for everyone. By booking with us, you agree to them on behalf of yourself and everyone in your party.
Personal Information
To arrange your tour we may need certain personal details, including a scanned copy of your passport for identification and permits, any medical conditions, and any food allergies or special needs, so we can tailor your trip. We handle your personal information with care and confidentiality, in line with our Privacy Policy.
Booking and Confirmation
- To secure a booking, a non-refundable but lifetime-transferable 15% deposit of the total cost is required at the time of booking.
- Deposits can be paid by our online payment system, bank transfer (SWIFT), or credit/debit card.
- Your reservation is confirmed once we receive the deposit and send you a booking confirmation email.
- For restricted and conservation areas, we may need passport details to arrange permits.
- We can send you payment links to transfer your deposit online.
Final Payment
For multi-day and longer tours, the balance is due no later than 30 days before the tour date. For shorter trips we are more flexible, and you may pay before departure at our office in cash.
- Cash: NPR or USD/Euro equivalent.
- Credit/debit card: 3.5% surcharge.
- Bank transfer: sender pays the transfer surcharge.
Any bank service charges incurred on deposits or final payment are the client's responsibility.
Cancellation and Refund Policy
We understand plans change. We will do our best to accommodate you and reschedule where possible. Late cancellations carry real costs, so depending on timing we may retain part or all of your deposit and payments. Any bank charges are deducted from refunds.
Multi-day guided tours. If you have paid your deposit and payment and need to cancel:
- At least one month before the trip: your deposit and payment are transferred as credit toward a future trip.
- Less than 20 days' notice: 25% of the total payment is lost.
- Between 5 and 19 days before the trip: 30% of the payment is lost.
- Less than 24 hours' notice: a 40% cancellation charge applies; the remaining 60% stays as credit toward a future trip. No cash refund is available.
Bike rentals:
- 10+ days before the rental start date: full refund.
- Within 3 days of the start date: 50% cancellation fee.
- On the rental day: no refund; we can postpone to the next day or trip, but no cash refund.
Trip Cancellation by Us
We will not cancel your trip except in critical situations, a state of emergency, war, unrest, a pandemic, or natural disasters. If this happens, we will offer an alternative or refund your tour cost. We are not responsible for additional expenses you incur related to your booking (for example, flights or insurance). In a situation like COVID-19, cancelled trips will be rescheduled as future trips.
Changes by You
Tell us as early as possible if you need to change dates or participants. We will do our best to accommodate, subject to availability and any supplier costs.
Weather and Itinerary
Himalayan conditions can change quickly. Itineraries may be adjusted on the ground for safety or weather. Your guide's decision is final on matters of safety.
Participant Requirements
- All participants must be at least 16 years old. Children 15 and under must be accompanied by their guardian.
- Participants need a reasonable level of fitness and basic biking skills for mountain biking and cycling tours.
Safety
Participant safety is our top priority. All participants must wear appropriate safety gear, including helmets, throughout the tour, and follow guide instructions at all times. If you would like some independent time, let us know and we will arrange options.
Risk Assumption
Mountain biking and outdoor adventure activities carry inherent natural risks. As a participant, you accept these risks voluntarily. We may ask you to sign a liability waiver/consent form before a tour or equipment rental, confirming you understand and accept the risks involved.
Travel Documents, Visas, and Permits
You are responsible for valid identification, passport, visa, and entry requirements. Some destinations require permits, which we can arrange on your behalf.
Medical and Travel Insurance
Travel and medical insurance is strongly recommended and required for a safe trip to Nepal. Arrange insurance after booking. It should cover personal accident, emergency helicopter evacuation, medical expenses, death, bike rentals, lost luggage, and trip cancellation. We do not provide insurance for mountain bikes or rentals from our shop; for that we suggest World Nomads.
Bike Rental
By renting from Nepal MTB Adventures, you agree to the following:
- Rider responsibility: You are responsible for the bike during the rental period — treat it as your own, use it responsibly, and follow all local laws.
- Bike condition: All rental bikes are checked before hire. Inspect the bike thoroughly before riding and report any mechanical issues or damage to the rental shop.
- Rental duration: The rental period runs from the agreed start until the bike is returned. Late returns may incur additional charges; contact us from the trail if you want to extend.
- Rental price: Prices are stated and agreed at booking. Extras such as jeep shuttles, lubricant, tubes, rear hangers, or requested accessories may incur additional charges.
- Security deposit: A security deposit is required (a valid ID card or cash of equivalent value), returned when the bike comes back in the same condition, normal wear and tear excepted.
- Liability: We take all reasonable precautions, but cannot be responsible for accidents, injuries, or damage to the bike or yourself during the rental period. By renting, you accept this.
- Maintenance and repairs: Minor adjustments (tyre inflation, gear tuning) can be done by the renter. Report major repairs or damage to the shop immediately.
- Loss or theft: If the bike is lost or stolen, the renter is responsible for the replacement cost of the bike or missing components.
- Age and legal requirements: Renters must be at least 16 and hold a valid identification document.
Incomplete Trips
If you choose to leave a trip before completion, for any reason, we are not responsible for providing refunds for tours organised by us.
Conduct During the Trip
If you engage in illegal activities that result in you having to leave the trip and Nepal, we are not responsible for providing refunds.
Complaints
We value honesty and integrity and won't make false promises to win your business. If any issue arises, tell us immediately so we can address it on the spot. If our team can't resolve it due to technical difficulties, we will keep working toward the best possible outcome. If it can't be resolved within the day, you may contact the founder or a senior manager directly, who will personally ensure it is addressed.
Photo, Video, and Sound Recording Release
During guided tours, rentals, and self-guided trips we may take photos and videos of you, and by booking you give us permission to use these for promotion — on our website, social media, brochures, advertisements, and other materials. We will not connect your personal information with released media without your explicit consent.
Participants are not paid for use of their images. If you do not want us to use your photos or videos, tell us by call, text, WhatsApp, or email; note that this applies to future use only and cannot affect materials already published. We use media responsibly and avoid offensive content, but cannot take responsibility for unauthorised use by third parties.
By participating, you confirm you have read, understood, and accepted these terms, and you release Nepal MTB Adventures and its representatives from claims, damages, or liabilities associated with the use of your media.
Force Majeure
We are not responsible for failure or delay caused by events beyond our control, including natural disasters, extreme weather, strikes, political events, pandemics, or travel restrictions.
Governing Law
These terms are governed by the laws of Nepal, and disputes are subject to the jurisdiction of the courts of Pokhara / Kaski, Nepal.
